TKD Exco Elections 2007!

Hey ppl! Since the elections are coming up the exco just thought we'd put up the various positions you can run for and their roles. Do read through and familiarise yourself if you want to run for the exco!

By the way the exco application form looks something like this: FORM

So here it goes:


President

The President of HCTKD club oversees all matters across every aspect in the club. Below are some of the important roles of the President:

  • Distribute any executive committee work (on top of their respective duties) among executive committee members according to their strengths, and supervise them whenever necessary.

  • Serve as the direct communication link between all members and the teachers-in-charge. It is the job of the president to update the teachers-in-charge, coaches and members regarding any updates of the club promptly.

  • To be responsible for all actions carried out by the executive committee. He or she will be the one making the final decisions for the club whenever applicable.

  • In case of absence of any of the exco members, the President will have to act accordingly to make sure the job of that particular exco member is done and the welfare of the club is not jeopardized.

  • The President must be aware of the progress of the club and is responsible for the performance of the club.

  • Plan executive committee meetings regularly to reflect on the happenings in the club and plan for upcoming events.

  • Carry out disciplinary actions during trainings.


The priority of the president is to ensure the executive committee carries out their duties accordingly. This will allow all trainings to be carried out properly and the welfare of the members to be taken care of.


Vice President

The vice-president (VP) as the title suggests, is a sub role of the president. This implies that he or she must be prepared at all times to take over certain tasks and share the burden of the president as well. More importantly, the VP has to be a “jack of all trades”, always on the ball and ready to assist the other exco members at all times.

I accentuate upon the fact that most of the time, jobs do not find their way to the VP but rather, he or she must be spontaneous and always offer their services to the other exco members.

The VP must also be approachable and sociable and most importantly, it is imperative that he or she be able to establish close bonds within TKD club members thereby creating indelible memories.


Quarter Master

Generally, QM’s job is to take care of the TKD Room and all the training equipment.

  • Before every training, QM gets all mats, targets, paddings and the First Aid Box down to the training ground.

  • After the trainings, QM is in charge of returning all equipment to the TKD Room;

  • Once a week if he can, the paddings need to be aired or else they’ll smell and feel like S___.. Air-dry the mats if they get wet in the rain;

  • Wipe the mats if they get dirty;

  • Arrange the stuff in the TKD Room as orderly as possible, and clean the room whenever needed.


Administrative Work

Keep an account of new equipment purchased, lost, spoiled, or used (for planks). This record is needed for stocktaking every year;

Tgt with the treasurer, QM orders new planks;

Last but not least, attend Exco meetings.


Secretary

The secretary is expected to handle all administrative matters of the club, namely:

  • Membership (Orientation period)

  • Attendance

  • Contacts and Relay system

  • Member contributions

  • Assist Treasurer in admin matters

  • Taking meeting minutes


Ideally, the Secretary should be friendly and approachable too.


Treasurer

Collection of:

  • Club fund ( every term)

  • Grading fee ( every 3 months)

  • Ordering equipments eg. Gi, guards, planks

  • Taekwondo account

  • Ensuring the balance does not run into red/ healthy reserve of cash

  • Expenses/ payments

  • Regular reports to teachers-in-charge

  • Miscellaneous fees


Welfare Manager

A welfare manager should ensure the safety of all members during trainings, especially in the absence of the trainers and teachers-in-charge. This means paying close attention to the actions of every member, and this means the welfare manager must not be oblivious to what is happening around him. He should supply appropriate medical care should any accident occur and seek suitable help if the accident is beyond his help. To achieve this he should have undergone suitable first-aid training and have proper contacts at hand at all times, including and not restricted to Teachers-in-Charge, Mr. Guna, Ambulance, Fire Brigade, Police, etc. Furthermore, the welfare manager is required to keep the first aid box of the taekwondo club in a suitable and well-equipped form at all times.


This may include and is not restricted to:

  • Adhesive tape

  • Alcohol wipes

  • Antacid

  • Antibiotic ointment

  • Charcoal Pills

  • Cotton swabs

  • Diarrhea medication

  • Disinfectant Cream eg. Dettol

  • Disposable latex or vinyl gloves

  • Elastic bandages

  • Gauze pads - various sizes

  • Hypoallergenic tape

  • Needles

  • Non-Adhesive dressings

  • Over-the-counter pain medication [aspirin]

  • Paper & pencil

  • Paper drinking cups

  • Plasters of Assorted Sizes

  • Roller guaze - self adhering

  • Safety pins

  • Scissors

  • Smelling Salts

  • Thermometer - oral & rectal

  • Triangular bandages

  • Tweezers

  • Waterproof tape


In addition, the welfare manager is required to organise at least 1 cip event in his term of work to allow the members of the tkd club to give back to society and to ensure that all members have an appropriate amount of CIP hours. This CIP can be in any form, such as selling items to fund a cause, a performance, self-defense trainings, etc.


On a lighter note, the welfare manager should also know the members of the taekwondo club well such as to get feedback on how to make the club a more happy place to train in. He should organise activities to help bond the club members, eg. Movie Outings, birthdays, etc. and promote attendence from the members for these events. It would be good for him to continue special traditions of our club such as our “lau yu sheng” every chinese new year or our yearly tkd club reunion dinner in the december holidays. However, he should also attempt to start new traditions such that the club is a more homely place for everyone.


Training Co-ordinator

  • Liaise closely with the coach and plan for all trainings ahead of time.

  • Always ready to take training in the absence of coach.

  • The person with the most Taekwondo knowledge (patterns, kicks etc)

  • Able to motivate members in training, gets everyone up and moving.


Traits:

Hardworking, puts in the extra effort in knowing all moves

Able to connect with members

Preferably charismatic
